The sheer volume of paper in most offices requires highly efficient filing and organization . Luckily, file folders allow this functionality at a very reduced cost. They are developed and printed for this purpose only, though they have been known to serve a lot of other needs too. With their basic designs, they are the ideal solution for inexpensive document management and other organizational requirements.

As they are the simplest of all folders, they have no specific styles or any special features attached to enhance their functioningality – they just do one job and do it very well. For instance, they are very useful for the in house promotion of business or brand identity in conjunction with proper advertisement campaigns. With a little touch of personalization, custom made file folders make an ideal marketing tool. They’ve also been recognized to be beneficial for archiving documents.

The many available sizes of documents call for the use of different types of this product. For instance, the legal file folder is used to handle legal size papers and documents. Some other sizes are A4, A5, and letter sizes. You will discover also non-standard customized sizes on the market, both in papers and folders. This allows customers to choose the exact specifications of their own products and solutions in any way they want. This is the best way to produce their products according to their online business requirements.

By creating distinctive and fresh looking designs, businesses can ensure the success of these products and solutions in a huge way. After the designing, the printing is what demands the utmost care and attention for good-looking presentation folders. A complete colour printing process would be the best solution in this regard, as it gives a way of customizing the look of the folders for precisely what you need. However this might be quite high priced, so you could also go for low-cost off the shelf versions if you’re on a tight budget.

If you’re like many people, you have an office where it takes you a couple of minutes to find almost anything that you need. Over a year that can add up to around six to eight weeks of total time just looking for things amongst your mess. With that amount of time at stake, you really can’t afford not to make some basic efforts to tidy things up.

Rule number one is that you desk is for working on, and should be clean of any storage items. To make your desk clean and clear, make space in your desk drawers or other storage spaces in the office and move everything from your desktop to there. Being able to work in a clean space on your desk will already make a huge difference to your productivity.

The second thing to deal with is all of your papers and documents which are probably lying around in a hundred different places. Start by sorting them into three piles – papers you are still working on, papers you aren’t working on but want to keep, and papers which you can throw out. The last group is pretty obvious, but the first two require a bit more organization.

Your papers that you need handy and are still working on can be stored in many ways, but one of the best is a series of plastic drawers or trays which sit on your desk. This keeps them handy but organized, and you can label the trays so you know what’s what. It’s also possible to use manila folders within the trays to keep things even more in order.

For papers that you essentially want to archive, two pocket folders are an excellent storage solution. They let you keep whatever you need in whatever way you want, and because they are cheap and easy to get you can create as many different groups and files are you need to have things organized in a way that makes sense for you.

The last thing is to implement a good filing system, without which all this work would be for nothing. A filing cabinet, set of drawers or shelves are ideal, depending on what you have available and what the layout of your office is like. No matter what though, try to make the filing system reachable from where you sit, as not having to get up will make you much more likely to use the system.

Classification folders are similar to regular file folders or manila folders, but they have several additional built in dividers which allow you to sort and organize your papers into different sections without having to use different files. This allows you both to save filing space, use fewer folders, and keep your organization simpler.

Classification folders are excellent for anyone who has documentation which is all related to a single topic but which also has several distinct niches within them. An example would be a legal office, which may have many clients who each have several areas of work. Classification folders will allow them to keep all the client’s papers in the same place but to classify them into the separate areas, allowing easy access whenever a specific file is required.

You can buy classification folders at most major online stationary retailers and many other businesses as well. They come with many different options and in several different styles. The most basic is just like a manila folder which simply opens and does not have any joined sides, but includes two or three dividers in the middle. The problem with these kinds of folders is that it’s quite easy for things to fall out, which can mean a big problem for your files.

Other folders have closed sides and are much more reliable in terms of holding their contents in. Classification folders in this style often have several dividers and will sometimes includes some kind of fasteners as well, allowing you to be doubly sure that your papers won’t fall or get mixed up. Folders can be made of relatively thin card, and go up to quite heavy weights like pressboard folders. You can get classification folders with anywhere up to 10 dividers, and if you need any more than that you should probably consider expanding file folders, as the amount of paperwork you need to put in will probably be too much for a single file.

Pocket wall files are a very versatile and useful storage solution for both office and home areas. They can be used as both a filing and organizing solution, and as a storage and display solution for magazines and light weight books.

Pocket wall files come in a variety of sizes and styles. First of all is the width – although it’s standard for wall files to be roughly the width of a letter page, some are wider in order to be able to hold landscape pages. The wall file should also be built to comfortably hold the pages once you put them in the file – if the front cover is too low, the pages may fall out easily and you’ll have a big mess on your hands.

You can buy pocket wall files with anywhere from 2 up to 12 or more pockets, and obviously the more you buy the larger the file will be. One useful thing that many companies have is a flexible system where you can buy add-ons for the files at later dates, so you can essentially build the wall file to be whatever size you need. This is particularly handy if you’re not sure how much space the wall file will take up or how it will look in your office, as you can test it out and if you like it, expand the file size to become more useful.

They also come in a range of colors and there is also some variation in style, in terms of the overall look of the files. Some are sharp and angular, while others try to present a curvier look. It’s worth looking around and seeing what different possibilities are available before rushing to buy anything, and also consider before you start shopping what kind of files might best suit the place where you are planning to put them.

Pocket folders are not always something that people give very much thought to buying, even though most of us use them every day. Cheap pocket folders are available in many places but in some instances, and depending on what you want the folders for, cheap might not be your best option.

As with most things, in the world of pocket folders you generally get what you pay for. You can buy brand name folders such as Smead or Pendaflex direct from many outlets, and you can get almost certain that the product you’re buying will be good quality and will last a long time. With cheap pocket folders, however, it’s not always so easy to tell or to know exactly what you’ll be getting.

The best scenario you can hope for is to find some brand name folders which are on sale for some reason or another. Doing an online search for terms such as Pocket Folders on Sale is one way to find them, as is searching major online retailers such as Amazon and Overstock, who will usually prominently display sale items in different categories. You can also check the manufacturer’s Web site to see if they are offering any direct to consumer sales or promotions at the time.

If you can’t find anything in this category, and you do want to buy cheap pocket folders, you’ll probably need to start looking for generic folders, meaning ones without a brand attached to them. These are usually cheaper, sometimes significantly so, but as stated above the quality is not always guaranteed. You may find, for example, that generic folders start to come apart at the seams, or that the pocket become loose quickly, or that the shapes in which they are cut are not perfect.

Whether or not this matters to you depends very much on what you’re planning to use the folders for. If they’re simply for storage of document and are likely to sit in a closet or filing cabinet for years without being touched, then cheap generic folders are probably perfect. Where you might run into problems is with folders which are in constant or regular use, because this can wear them down and folders that are not well made will start to fall apart fairly quickly with very regular use.

Pendaflex is a company which has been producing all kinds of files and folders for well over 100 years. They are probably most famous for their hanging file folders, which are commonly known as Pendaflex folders even though they are produced by many other companies.

Pendaflex generally makes products of excellent quality, and the vast majortiy of its products are manufactured in the US. Sopme of the products Pendaflex makes include:

- Hanging Folders. These are commonly known as Pendaflex folders, and are hung upside down in a filing cabinet. Most Pendaflex products come with either inbuilt tabs for east identification of the contents, or color coding to allow quick filing, or both. Pendaflex also creates a series of products beyond the standard hanging folders, such as hanging box folders for storing large documents or odd-sized papers together, transparent folders, and hanging expanding file folders.

- File Folders. Of course, Pendaflex also creates standard file folders in a variety of styles. These include standard manila-style folders, again in a variety of colors and with multiple tab options avaiable; file folders with fasteners to make sure none of your important documents fall out; and expanding file folders, allowing you to keep a huge amount of papers well organized and easily accessible in the one place.

- Expanding files. No range of file folders would be complete without expanding file folders. The range is vast and includes standard expanding files, wallet-style expanders which close securely, and poly expanding files for long life and endurance.

Pendaflex’s range of additional products is huge and includes executive files, recycled files, index cards, record keeping books and files, filing systems and even staplers and hole punchers. As an American company with a long tradition and history of excellence, you can’t go too far wrong if you buy Pendaflex products.

Colored file folders may in fact be one of man’s greatest ever inventions in the field of organization. Regardless of the kinds of folders you have or need, using different colored folders for different tasks, clients, business or other divisions can make your life a lot easier.

Almost all folders nowadays can come in different colored versions. Whether you want or use simple light paper manilla folders, slash pocket folders, two pocket folders, presentation folders, haning folders, expanding file folders or any of the hundreds of other docuemtn storage options available, you can most likely get different colored versions of each one.

Once you have your colored folders, you need to decide how you’re going to classify them. The otpions are virtually limitless and this will depend very much on your job or your business, but some possibilities include:

- Color coding according to the document type. For this method, contracts would go in one color, invoices in another, receipts in another and so on.

- Coding by action required. For this method, you would put all the documents that you need to follow up on or do something about in one color, everything that you’re waiting for someone else for something in a different color, everything that’s a simple reference document into a third color, and possibly more if you feel you need them.

- Coding by client or vendor. This is quite self-explanatory, although you may not be able to have a different color for every client or vendor if you have many of them. If this is the case, you might want to sort your clients or vendors into categories either by average order size, alphabetically, or by type (this is mainly for vendors).

- Coding by date. Make your life easier by keeping everything from Q1 in red folders, Q2 in blue and so on.

There are countless other ways to organize your documents by color coding in colored file folders as well. You need to plan and consider exactly how you can best make use of them, and if you manage to do that step correctly, you’ll find that color coding files can make a significant difference to your working life.

File folder organizers are one of the most useful things invented in the office and stationary world. While folders and files are great, you’ve probably had the problem where you have so many file folders lying around your desk and office that you’re more lost than you were when all your papers were just lying around.

File organizers basically do just that – provide you with a place to keep all your file folders and also ways to organize and sort them. Organizers can be made of hard, inflexible plastic, or they can be from leather or softer plastic. Some can also be closed, allowing you to transport your file folder collection easily and without worrying about them falling or being damaged.

Organizers come in a variety of different sizes and with different numbers of pockets as well. Before you buy you should definitely consider how many files you think you will want to keep in the organizer, and also how whether or not you think you will need to move it very much. If you want to keep it portable, then you should keep the organizer down to a relatively small size, and of course you should buy one which can be closed, has a carry handle, or is able to be transported in some other way.

You should also check the exact size of the file folder organizer you’re planning to buy and make sure that it’s going to be big enough to hold the files and folders that you want to put it in. Remember that the files and folders are slightly bigger than the paper size that they’re designed to hold, so be sure to double check.

Finally you should also consider the style and where you want to keep the file organizer. Some solid plastic models are designed to sit on desks or in easily accessible places, while others are made to be kept in storage closets or other out of the way areas. Try to plan out where you’re going put everything before buying, and you’ll be likely to be more satisfied with your purchase.

If you’re looking for the toughest, most durable office folder around, these are the ones you should think about. Poly in this case stands for polypropylene, a plastic-like substance which virtually never wears down, and is used to make things such as pipes, candy boxes, and even chairs – so you can be sure that strength isn’t going to be a problem.

As you would assume, poly folders are more or less water proof, or at least water resistant, and also are very difficult to tear or damage permanently. Because of this they are great for any kind of filing or other use in which they will be touched, opened or leafed through on a regular basis, as they won’t wear down easily. They are generally available in a range of colors as well, so if you’re so inclined, you can use color coding to make your searching through files easier.

The two best known brands of poly file folders are Smead and Pendaflex. These are both very well known brands with good reputations, so if you choose products from either of them, you’re likely to be happy with the results. Depending on where you buy and exactly which models, you can expect to pay somewhere between $0.60 to $1.00 per file folder if you buy in packs of 12 or more.

Many major office supply retail chains and other companies offer their own in-house brands of poly folders as well, such as Office Depot and Staples. You will probably find that these are cheaper than the brand name companies, often coming in at less than 50 cents per folder if bought in bulk. As with all generic products, you may want to exercise a little caution as you don’t always know where the products are sourced from, however, with poly file folders, there’s not many things that can go wrong or be of low quality. This may be one of the times when the cheapest option is likely to be worth it.
